Job Overview:

The Office Administrator role is multifaceted, dedicated to managing and completing essential administrative tasks that underpin the seamless operation of GovInvest. With the company's growth in both revenue and workforce, establishing and adhering to standard operating procedures (SOPs) is key to scaling efficiently and meeting the Operations Team's goals. The core responsibilities and goals of the Office Administrator are outlined as follows:

Some of what you'll do:

Clerical Duties:

o Manage WeWork employee memberships and access

o Manage incoming physical mail and completion or delegation of tasks o Assist with coordinating employee events and travel (e.g., Company offsites)

Compliance Duties:

o Insurance policy management, renewal, and annual audits

o Providing up-to-date certificates of insurance (COI)s to clients

o Manage compliance of registered agent services, certificates of good standing, foreign qualifications, and filings of annual reports

o Manage business license registrations and vendor forms

Finance Duties:

o Assist with accounts payable duties for contractors and vendors o Assist with accounts receivable duties by collaborating with Customer Success Team

o Assist with client billing inquiries and task delegation

o Managing employee expense reimbursements

Who you are?

• 5+ years of experience in an executive administrator or operations role • Bachelor’s degree preferred

• Desire to work in a fast-paced and constantly evolving start-up environment • Remains calm, cool, and collected in fast-paced environments

• Exemplifies grit, self-sufficiency, continuous learning, and problem-solving • Ability to organize, prioritize, and execute on multiple responsibilities to meet deadlines

• Professionals seeking semi-autonomous working environments and growth opportunities

• Excellent written and verbal communication skills

• Proficient with Microsoft Office products (e.g., Word, PowerPoint, Excel) • Ability to navigate and learn new software tools

Pay Range:

$50-60K base salary and up to 10% annual performance bonus
